What Is the Guests Page?

The Guests page is your church's guest database. Every person who has checked in to any of your classes appears here. You can view, search, and filter guests, and drill into each guest's full record to see their contact information and all their class submission data.

Navigate to Admin → Guests to access this page.


The Guest List

The guest list shows all guests who have taken at least one class. Each row displays: • Name — the guest's first and last name. An admin badge icon appears if any of their check-ins was an admin preview.

Classes — pill-style labels showing each class the guest has participated in, with an icon indicating whether they completed it or are still in progress.

Last Updated — the most recent date and time any of their class activity was updated.

The list is paginated — 20 guests are shown per page. Use the pagination controls at the top and bottom of the list to navigate.


Searching and Filtering

Search

Type in the search bar to filter guests by name or email in real time.

Filter by Show

Use the Show dropdown to filter by guest type: • All — shows everyone

Guests Only — hides admin check-ins (previews done by your team)

Admins Only — shows only admin check-ins

Filter by Date Range

Use the Date Range picker to filter guests who were active within a specific time window. Select a start date and an end date. Clear the filter to return to "All".

Filter by Class

Use the Class dropdown to filter to guests who participated in a specific class. Select "All" to see guests across all classes.

When a class filter is active, the matching class is highlighted in each guest's Classes column.

Sort By

Use the Sort By dropdown to change the order of results: • Recent (default) — sorted by most recently updated

First Name: A-Z / First Name: Z-A

Last Name: A-Z / Last Name: Z-A


Guest Detail View

Click any guest row to open their full detail page. You see:

Contact Information

Full Name (displayed as a large heading)

Email address

Phone number (formatted in US national format)

Check-In History

Below the contact info, each class the guest has participated in is shown as a separate section. Each check-in displays: • Class name and last updated timestamp

• A breakdown of every section they completed, with their submission data

Submission Data by Section Type

Section Type What Is Shown
Form sections Each field label and the guest's answer
Video sections Each recorded prompt question and the guest's answer (sorted by timecode)
Test sections The test result type (e.g., "D/I" for DISC, or "Apostle" for Spiritual Gifts)
Branch sections The branch option the guest selected ("Selected Branch: [option label]")
All sections "Finished Section At: [date/time]" when the guest completed the section

File uploads: If a guest uploaded a file in a Form section, a "View File" download link appears in their submission data.

No submissions: If a guest has a check-in record but did not submit any sections (e.g., they checked in but did not progress), the message "No submissions for class" is shown.


Admin Check-Ins vs. Guest Check-Ins

When a team member previews a class using the admin preview mode, their check-in is tagged as an admin check-in. These are tracked separately and can be filtered out using the "Guests Only" filter so they don't skew your real guest data.


Common Questions

How do I find a specific guest? Use the search bar on the Guests page to search by name or email.

Can I delete a guest record? Deleting individual guest records is not supported from the admin interface. Contact support if you need a guest record removed.

What does "in progress" mean for a class? The guest checked in and completed at least the email step, but has not yet reached the Completion section. Their check-in does not have a completion timestamp.

Can the same guest appear multiple times? A guest has one profile record per unique email address. However, they can have multiple check-ins — one for each time they started a class. Multiple check-ins for the same class are shown on their detail page.

Why does a guest's name show as blank? If a guest only entered their email on the Check-In screen but did not complete the profile step (first and last name), their name may be missing. They will still appear in the guest list by email.

Can I delete test results from the Results page? There's no option in the app to delete results yourself. Contact support and we can manually remove specific results (e.g. test runs) when needed. For testing, use different email addresses so real guest data isn't mixed with test data.

Where do I download a CSV of guests or class results? Use the Reports (or Analytics) area for that class to run a report and download as CSV. CSVs are per class. To filter by date or completion status, download the CSV and filter in Excel or Google Sheets — there isn't a date filter in the app export yet.

Can I export or email results to a guest? Guests can email themselves their test results (DISC, Spiritual Gifts, etc.) from the results screen when that option is enabled. For admins, CSV export is available in Reports. PDF/print-friendly results for guests are on our roadmap. For a specific guest who needs results resent, contact support.

A guest says "See full results" in their results email goes to the start of the test. Why? If it's been more than 30 days since they took the assessment, their session may have expired. They can retake the assessment, or you can view their results in Admin → Guests and share from there. If it's within 30 days and still happening, contact support.

Can a guest get their results again if they forgot to email them? Yes. They can return to the same class link and check in with the same email — they'll see their results if they're within the 30-day window. You can also view and share their results from Admin → Guests.

Can I see a list of which ministry teams are linked to each Spiritual Gift result? That view isn't in the app today. You'd need to check each ministry team's settings individually. Contact support to note it as a feature request.

Can I reorder the results shown on the Guests page? Reordering results in the UI isn't a current feature. If you need a specific order for reporting, download the CSV and sort there.
